Privacy Policy
Menlo Physio is the name shared by two independent physiotherapy practices based at Hoƫrskool Menlo Park, Menlo Park, Pretoria, South Africa. This policy explains how personal information is handled when you contact a practice or use this website. We comply with the Protection of Personal Information Act, 4 of 2013 (POPIA).
Menlo Physio is not a registered company. Each practice operates as an independent sole proprietor, Tabita Atkins and Narita du Toit, each a physiotherapist registered with the HPCSA, and each is the responsible party for the personal information of her own patients.
Information we collect
When you message us on WhatsApp to book an appointment, we collect the information you choose to share, typically your name, contact number, and the reason for your visit.
If you complete the patient intake form on this website, we collect the information you provide so the practice can prepare for and manage your treatment and account. This may include your name, identity number, contact and address details, relevant medical conditions and history, and your medical aid details. Health information and identity numbers are special personal information under POPIA, and we process them on the basis of your consent. The completed form is submitted to the practice by email and is not stored on this website. The intake email is delivered using Resend, an email service provider that processes the message on the practice’s behalf; because Resend operates outside South Africa, your information is transferred outside the Republic for this limited purpose, in line with POPIA’s conditions for lawful cross-border transfer. When you type your address, the form offers matching suggestions using Photon, an address-lookup service operated by komoot GmbH in the European Union; the text you enter in the address field is sent to that service to return suggestions. Using a suggestion is optional — you can always type your address in manually.
How we use your information
- To confirm and manage your appointments.
- To communicate with you about your care.
- To assess and provide physiotherapy treatment.
- To manage your account and process medical aid claims.
- To meet HPCSA record-keeping requirements.
We do not sell or rent your personal information. We do not share it with third parties, except where needed to provide your treatment, to manage your account or process a claim with your medical aid scheme, to operate the email service that delivers your intake form to the practice, or where required by law.
Clinical records
Your clinical records are kept separately from this website, in line with HPCSA guidelines and POPIA. You have the right to request access to your records. Contact the practice on WhatsApp to do so.
Cookies and analytics
This website does not use tracking cookies or third-party analytics tools that collect personal data.
Your rights under POPIA
You have the right to access, correct, or request deletion of your personal information. To exercise these rights, contact the practice on WhatsApp.
